Members of the Lone Star Region who propose hosting an LSR Convention should present their plans at a meeting of the Board of Directors. The presentation need not be fancy, or lengthy - just factual, and complete enough to so that the Board may makes its decision on the basis of the materials presented. The Directors meet twice annually, in mid-year (usually January), and again at the annual Lone Star Region Convention, following the customary breakfast and annual meeting of the membership; the presentation may be made at either meeting, and should be scheduled, preferably, for two years before the proposed convention dates.

The presentation may use audio-visual materials of any type, if desired by the presenters. However, if an audio-visual presentation is to be made, the presenting group should assure that the necessary projector, screen, extension cords, etc., are available for use, preferably by bringing their own. The presentation materials should also be printed, or reproduced, in sufficient quantity that each Officer and Director may have a copy to follow during the oral presentation; twenty copies should satisfy this requirement.

The following topics and information should be covered in the presentation:

• Name, address, and telephone number of the candidate General Chairman.
• Dates proposed for the convention.
• City proposed as host city.
• Hotel or other property proposed for housing the convention.
• Current rates for sleeping rooms, with potential for guaranteed rates for the Convention.
• Dinner and breakfast menus, with current prices, including tax and service.
• Floor plans of the facilities and breakout spaces of the proposed host hotel. These should be obtained from the hotel convention services department, and reproduced as needed.
• Outline of the proposed convention program activities, including the Non-Rail activities.
• List of candidate model railroad layouts for visitation; owner names only, with scale and status of each layout.
• Prototype railroad facilities in the proposed area, with potential for visitation or tours.
• Any other information that the convention committee may deem interesting and that could be convincing to the LSR Board.
